We will look into things to consider before starting looking and where to begin with, as well as prices and requirements to host your new business. You would need to find a space that fits the company’s needs and budgets so let’s get you started!

Main things to consider when looking for an office to rent in Luxembourg

There is a big boom lately in the office rental market in Luxembourg which means you will definitely find the ideal space for your company. You should invest quite some time though for a proper research as you wouldn’t want to take the roof of your new home lightly. So, let’s start from the basics:

  • 1. What kind of office are you looking to rent?

There are plenty of different options at the moment in Luxembourg so you can pick and choose from a usual office to rent, a coworking space, a meeting space or a business center. It all depends on the size of your company and your budget. You need to determine how much space you will use and that depends directly on how many employees you have or plan on hiring. To take it a bit further, you might want to consider parking spaces as well, or other facilities, such as meeting rooms, kitchen, number of bathrooms, elevator if applicable and so on. Last but not least, in case there is a possibility of expansion, you would need to take that into consideration as well. Lastly, safety is very important, especially if you hold a financial/banking related business, so there are specific regulations to be followed when it comes to an office space.

  • 2. Location and accessibility

The location matter is quite important as it might affect costs directly. Depending on how many employees you hired, or plan to hire, and the working terms such as hybrid or remote, you might want to pick an office close to public transportation, for both employees and customers or visitors. Besides the area you will choose though, it is very important to discuss accessibility terms as well such as: Is the office open with access cards 24/7 or only working hours? Who has access to it and is there a guard or a receptionist? What are the security features of the building? Is it an office in a building with more offices or are you renting the whole space? Is it accessible to people with disabilities? Is there an elevator? Those are only some of the matters you need to take into consideration when looking for a new office.

  • 3. Services

Some of the services you might need, and therefore consider a coworking space, would be: Furniture and IT equipment: is it included in the rent or do you have to move or buy your own? Does it include a kitchen and is it open for all? How many bathrooms are there? Are there any meeting rooms? Depending on how many you need of course. Is it open space or are there separate offices? What are your needs? Are cleaning services included or do you need to arrange this yourself separately? Is the WiFi included or do you need to contact an internet company yourself? What about maintenance and repairs? Is there a janitor in place or a company who takes care of that?

  • 4. Business finances

Before looking into renting costs, you would need to look into your own company’s finances, to see what is your budget and what you can actually afford. All the considerations above, regarding size, location and services included, will help you narrow down your needs and look more specifically into spaces to rent. If you don’t want to spend money on a broker, you should read your lease very carefully before signing, and you can always negotiate before doing so.

As of May 2024, according to Statista the office rents in Luxembourg are illustrated as follows:

  • Central Business District (CBD): Primarily €54 per square meter per month, the highest in Luxembourg City.

Office rental lease in Luxembourg

What you need to focus on when signing a office rental lease are this points:

  • Duration → depending on the length of the contract, a space can cost more or less. While normal rentals usually last minimum a year or indefinitely and paid monthly, coworking spaces have a different logic where you can rent even daily or weekly, without any obligations to continue if you don’t need the space anymore, and it can go by size or by number of people, if only renting desks and not a whole office.
  • Attention to scams → When you see super low rents accompanied by unspecified fees and other hidden expenses, keep your eyes and ears open as it might be a scam, especially when the supposed landlord is not in the country and is asking you to pay a deposit before signing a lease. Don’t fall for that! Also, better consider a place where everything is included in the rent, such as furniture and maintenance, so you don’t bump into any unpleasant surprises later.
  • Relation between landlord and tenant: main contract terms and obligations → You can always negotiate the terms of your lease to an extent, especially for extra costs, so you avoid unpredictable fees. You can also request a trial period, and see this way if that space actually fits you well. Please note that your rent amount cannot change in the first 6 months of occupancy and 2 years after that. If your landlord attempts to ask for an increase that doesn’t comply with this rule, you can formally complain. Read carefully all contract clauses and if something is unclear consult your lawyer or ask the landlord directly. Make sure to clarify issues like pets and meters of all utilities, so you know the consumption the day you move in and keep track. Another important point to note here is that since more rental contracts in Luxembourg are written in French, if you do not speak the language, it is advisable to have a French native person take a look, to make sure everything is in order. Remember not to pay any money before signing your agreement.
  • Contract deposits → Besides a month or two of rent up front, you would have to pay a deposit, to be kept and returned to you when you leave. This can be a maximum of three months’ rent and has to be paid together with the first rent, when you sign your contract. If at some point you wish to move out, the landlord can request to keep some or all of your deposit for cleaning and repair expenses or if they support you caused damages to their property, that is why it is advisable to take pictures the day you move in, and regularly, to prove the condition of the premises.

Good luck with your office space search!

As we saw, it is not that complicated to rent an office space in Luxembourg, it is only a matter of good planning and to-do lists, to make sure you take everything into consideration, from price and location to size and additional fees.

FAQ

If I am renting long-term, isn’t it better to buy?

Most expats usually rent because either their company is not yet established or because they don’t plan on staying long-term. Also, owning a space in Luxembourg automatically means registration, mortgage and notary fees, besides the expenses for the property itself. If you are planning on staying long-term though, and that is a fact, then it might be worth looking into buying as well, especially since there are no restrictions when it comes to foreigners buying property in Luxembourg, so that is the easy part as long as you can afford it.

What is the governmental source where I can find more relative information?

You can read more information regarding renting office spaces, at the official government website of Luxembourg, here. Also, you can obtain more information regarding your right as a tenant at the website of the Luxembourg Consumer Union.

Are coworking office spaces worth a try?

They are, but always of course depending on your company’s needs. If your company is small, with up to 10 employees maximum, and there is no plan in expanding much in the near future, plus you are new in Luxembourg, it is probably the most convenient, cheapest, safest and easiest choice. But you can always consult with a real estate agent, who can help you find - at a cost - exactly what you are dreaming of!
